dental front office systems front desk new patients patient communication phone skills Dec 18, 2023
With the holidays in full swing, your 'away' phone message at the office is probably one of the last things on your mind. But with most taking anywhere from a few days to 3 weeks off, it's critical that your patients hear a message that supports the vision of your practice.
I often think of one of the most horrendous messages I've ever heard when calling a dental office...
First of all, it was way too long. It went on about all of the different hours of the practice throughout the week, the lunch hours, etc. WHO CARES!! Bottom line, you aren't there to take care of my call.
There was also a horrible nasally 'professional' (aka: snooty) voice. I know this gal, and she doesn't talk anything like the voice she left on the message. In fact, she's a great team member and does her job very well. So why the weird voice?? Just be your self... unless you're not joyful, then just fake it 'til you make it. But either way, simplify your message and don't take yourselves so seriously!!
All patients want is assurance that their message will be received, and that they will hear back from you. It won't hurt that you sound joyful and have a little fun!
Here's a message you can try for the next few weeks (feel free to edit to fit your situation) -
